Step-by-step guides for every module of the AI NOW Logistics Command OS. From onboarding to advanced AI features.
Section 1
Navigate to logistics.ainow.com.sg. Click Sign In, enter your email and password, then click Log In. If you are a new user, your Operations Manager will send you an invitation email β click the link in the email to set your password.
On first login, you will be guided through the Onboarding Wizard. Enter your company name, select your business type (e.g. Lorry Transport, Cold Chain), upload your logo, set your operating hours and service zones, then click Finish Setup.
After onboarding, you land on the Command Centre (Dashboard). This is your real-time overview β active jobs, driver statuses, revenue metrics, and AI alerts. Use the left sidebar to navigate to any module.
Section 2
Click Jobs in the sidebar, then click + New Job (top right). Fill in the Pickup Address, Delivery Address, Pickup Date/Time, Cargo Description, Weight, and Client. Select the required vehicle type. Click Save as Draft or Confirm Job.
On the Jobs page, click Import β Upload Excel/CSV. Download the template, fill in your job data following the column headers, re-upload the file, and review the preview before importing. AI will flag any rows with missing required fields.
Each job moves through statuses: Draft β Confirmed β Assigned β En Route Pickup β Loaded β En Route Delivery β Delivered β POD Submitted β Completed β Invoiced β Paid. Click any job row to see the full status timeline.
Click any job number to open the Job Detail page. You can see the assigned driver, vehicle, stops, live GPS position, cargo details, pricing, client notes, and the complete audit log of every status change.
Section 3
Click Dispatch in the sidebar. The left panel lists all unassigned jobs. The right panel lists available drivers and vehicles with their current locations and on-time scores.
Click on any unassigned job. The AI Recommendation Panel (right side) automatically suggests the best driver and vehicle based on location, current workload, licence class, and vehicle capacity. Click Accept to confirm the AI's recommendation.
To override AI, drag a job card onto a driver card, or use the Assign Driver dropdown inside the job card. You can also click Assign on a driver row and select the job from the dropdown.
After assignment, the driver receives an instant push notification on their Driver App. The job appears in their Today's Jobs list with full pickup and delivery details.
Section 4
Click Map in the sidebar. A full-screen Mapbox map loads with all active drivers shown as coloured pins β green (available), blue (on job), orange (on break), red (delayed).
Click any pin to open the driver info card: name, current job, vehicle, speed, last GPS ping time, and ETA to next stop.
Use the filter panel (top left) to show only specific driver statuses or filter by your service zones. Click a zone polygon to highlight all jobs within it.
Click on a completed job on the map and select Route Replay to see the exact path the driver took, with timestamps at each stop.
Section 5
Click Clients β + New Client. Enter the company name, primary contact name, email, phone, billing address, credit limit, and payment terms (days). Click Save.
Open a client record, scroll to Rate Card, and click Assign Rate Card. Select from your pre-configured rate cards or create a custom one for this client.
Inside a client record, click the Jobs tab to see all historical jobs, the Invoices tab for billing history, and the Quotations tab for pending and approved quotes.
Section 6
Click Drivers β + New Driver. Enter name, phone, email, licence class, employment type (full-time, part-time, freelance), and upload their licence document. Click Save.
Each driver profile shows On-Time Score, Job Completion Rate, Incident Count, and a 30-day performance trend chart. Click any metric to drill into the underlying jobs.
Open a driver profile and update their Availability Status: Available, On Break, Off Duty, or Unavailable. This status is reflected immediately on the Live Map and Dispatch Console.
Section 7
Click Vehicles β + New Vehicle. Enter plate number, vehicle type (Van, 10ft/14ft/24ft Lorry, Truck, Refrigerated Van, etc.), fuel type, ownership type, and document expiry dates for road tax, insurance, and inspection.
Go to Fleet in the sidebar. The compliance calendar shows all upcoming document expiry dates. Vehicles with expiry within 30 days are flagged orange; expired documents are flagged red with an exception.
Open a vehicle record, click Maintenance β + Add Entry. Select the maintenance type, scheduled date, vendor, cost, and mileage at service. Click Save to record it.
Section 8
Click Quotations β + New Quote. Select the client, add line items (e.g. delivery fee, surcharges, waiting time), apply the relevant rate card, and set an expiry date. Click Save as Draft or Send to Client.
Click Send. The client receives a branded PDF quotation via email with a link to view and approve online through the Client Portal.
When a quotation is approved, click Convert to Job. The job will be pre-filled with all quotation details. Review and confirm.
Section 9
Click Invoices β + New Invoice, or generate automatically from completed jobs by clicking Generate from Jobs. Select the client, the completed jobs to bill, and review the line items.
Click Send Invoice. The client receives a branded PDF via email with payment instructions. A link to view the invoice online is also included.
When payment is received, open the invoice and click Record Payment. Select the payment method (Bank Transfer, PayNow, etc.), enter the amount and date, and click Confirm. The invoice status changes to Paid.
Overdue invoices are flagged automatically. The Exceptions module will raise an alert. You can send a payment reminder directly from the invoice page by clicking Send Reminder.
Section 10
Click Reports. The overview shows revenue, job volume, on-time delivery rate, active clients, and fleet utilisation for the selected period. Use the date range picker to filter by day, week, month, or custom range.
Click Reports β Profitability. See gross margin per job, per client, and per driver. Identify your highest-margin clients and routes, and flag low-margin jobs for pricing review.
Click Reports β Vehicle Utilisation. View active hours, idle hours, distance driven, and fuel cost per vehicle. Identify underutilised vehicles and optimise your fleet size.
On any report page, click Export β PDF or Export β Excel to download the report for sharing with stakeholders.
Section 11
Click AI Copilot in the sidebar. A chat interface opens where you can ask questions about your operations in plain English.
Examples: "How many jobs are delayed today?", "Which driver has the best on-time score this month?", "What is our revenue this week vs last week?", "Show me all jobs for YCH Group in July."
Click Copilot Actions in the sidebar to see pending AI recommendations β dispatch suggestions, anomaly alerts, pricing recommendations, and invoice reminders. Approve or dismiss each action.
Section 12
The driver uses the Driver App to photograph the delivered goods, capture the recipient's signature, and enter the recipient's name and phone. The POD is automatically uploaded and linked to the job.
Click POD in the sidebar. Search by job number or client to find the POD. Click to view photos, signature, GPS coordinates at delivery, and the timestamp.
AI automatically checks each POD for completeness (photo + signature + recipient name). Invalid PODs are flagged in the Exceptions module for manual review.
Section 13
Click Exceptions in the sidebar to see all active alerts ranked by severity (Critical, High, Medium, Low). Examples: vehicle document expired, driver late, failed delivery, temperature breach, low-margin job.
Click any exception to open the detail panel. Read the AI-suggested resolution. Either click Resolve (and write a resolution note) or click Escalate to assign it to another team member.
Go to Settings β Notifications to configure which exceptions trigger email, WhatsApp, or in-app alerts, and who receives each type of notification.
Section 14
Click Compliance in the sidebar. See a calendar view of all upcoming vehicle and driver document expirations, with colour-coded urgency.
Click + Upload Document on a vehicle or driver record. Select the document type (Road Tax, Insurance, Inspection, Driver Licence, etc.), enter the expiry date, and upload the file. The system will send you reminders 60, 30, and 7 days before expiry.
Section 15
Click Knowledge Base in the sidebar. Browse articles on SOPs, pricing rules, client-specific instructions, driver handbooks, and FAQ.
Click + Upload Document. Select the document type, write a title, upload the file (PDF, Word, or Excel), and click Save. The AI will index the document so drivers and the AI Copilot can reference it.
Section 16
Go to Settings β Company. Update your company name, logo, brand colour, operating hours, service zones, and currency settings.
Go to Settings β Team. Click + Invite User. Enter the user's email, select their role (Dispatcher, Accounts, Driver, Client Admin, Auditor), and click Send Invite. The user will receive an email to set their password.
Go to Settings β Notifications. Toggle which system events trigger in-app, email, WhatsApp, or push notifications. Assign specific alert types to specific team members.
Go to Settings β Integrations to connect accounting software (Xero, QuickBooks), GPS hardware APIs, or your own systems via the REST API. API keys and webhook endpoints are managed here.
Section 17
Drivers open their mobile browser and go to logistics.ainow.com.sg/driver/today or use the PWA icon on their home screen. They log in with their driver credentials.
The app shows all jobs assigned for today in sequence order. Each job card shows pickup address, delivery address, cargo details, and special instructions.
As the driver progresses, they tap the status update buttons: En Route to Pickup β Arrived at Pickup β Loaded β En Route to Delivery β Arrived β Delivered. Each tap is timestamped and geo-tagged.
After delivery, the driver taps Submit POD, takes photos of the delivered goods, captures the recipient's signature on screen, enters the recipient's name and phone, then taps Submit.
Section 18
Clients access their portal at logistics.ainow.com.sg/portal using credentials you set up for them in Settings β Team.
In the portal, clients click Book a Delivery, fill in pickup and delivery details, select the service type, and submit. The booking creates a job in your platform immediately.
Clients can see all their active and historical jobs in the Jobs tab, with real-time status updates. They can click Track to see the driver's live location on a map.
Clients see their invoices in the Invoices tab, can download PDF copies, and see payment status. A payment link is embedded for credit card or PayNow payments.
Section 19
To embed large media files (such as 90-second vertical videos or 20-minute audio podcasts) without compromising initial page load speed, use the Click-to-Load (Facade) pattern. A lightweight cover image / UI is shown on initial render, and the media stream only loads when clicked.
For native HTML5 <video> and <audio> elements, always specify preload='none'. This ensures zero bytes are transferred over the network during initial page load, achieving 100/100 Lighthouse performance.
Use the built-in VerticalVideoPlayer component (<VerticalVideoPlayer src='...' poster='...' />). It enforces a mobile-first 9:16 aspect ratio container to prevent Cumulative Layout Shift (CLS) and includes custom playback controls.
Use the built-in PodcastAudioPlayer component (<PodcastAudioPlayer src='...' durationStr='20:00' />). It features progressive HTTP range-request streaming, speed controls (1x to 2x), 15s skip buttons, and waveform styling.
